Note: The Terms & Conditions in this document are supplementary to all other terms & conditions which are set out in your contractual agreements with Messe Berlin (Singapore) Pte Ltd for ITB Asia 2020 & MICE Show Asia 2020.
 

1. Event and Organizer

ITB Asia & MICE Show Asia is organized by Messe Berlin (Singapore), a subsidiary of Messe Berlin GmbH, Germany, at Sands Expo and Convention Centre, Marina Bay Sands, Singapore.

 

2. Admission Policies
 

Official Opening Hours

Duration of ITB Asia, MICE Show Asia and Travel Tech Asia 2020: Wednesday, 21 October - Friday, 23 October.

Daily opening hours: 9:30 a.m. – 6:00 p.m.

Note: Only Exhibitor and Contractor badge holders are allowed entry for exhibition setup on Tuesday 20 October, 8:00 am – 10:00pm. All other badge categories apart from the two above mentioned will only be permitted entry to the exhibition halls during the official opening hours.

Attire

All attendees are to be in business attire.
Shorts, Slippers and sandals are strictly not allowed unless part of the traditional attire. Entry will be refused if attendees are found in such attires. Attendees may be escorted out of the Exhibition Halls if found in such attires as well.

Exhibitor Passes

Exhibitor passes provide access to the exhibition grounds from 8:00 a.m. - 7:00 p.m. Exhibitors will receive a limited number of special passes valid for the duration of the exhibition or fair, for use by themselves and their employees, and entitling them to admission free of charge. In the case of joint participation by a few exhibitors, only the authorised exhibitor will receive the required passes. Additional passes are available, for which a charge will be made.
 

Hosted Buyer

Individuals who are allowed to participate in the Buyer Programme must be travel agents, travel managers, MICE planners and industry professionals who are responsible for making or influencing buying decisions within the global travel market.

Should you cancel your trip to ITB Asia, MICE Show Asia and/or Travel Tech Asia 2020 on/after 1 September 2020, or fail attend any of the Hosted Buyers Programmes and ITB Asia, MICE Show Asia and/or Travel Tech Asia 2020's official evening events, or fail to fulfill your required number of scheduled appointments, you will be liable to pay the FULL penalty equivalence of 100% hotel charges and cost of evening functions incurred by the Messe Berlin (Singapore) Pte Ltd, a sum of USD 1,100.00.

Messe Berlin (Singapore) Pte Ltd reserves the rights to cancel the participation of a hosted buyer, including after the buyer's acceptance onto the programme; for example, should it become apparent that the buyer is unlikely to fulfill their obligation and commitments to the programme.

You hereby declare that all information submitted are accurate and complete. And Messe Berlin (Singapore) Pte Ltd reserves the right to cancel the participation of a buyer should there be discrepancy in information submitted or if you're serving notice of leaving your role.

By accepting the above terms and conditions, you agree to all relevant data protection legislation under Singapore law to Messe Berlin (Singapore) Pte Ltd and its partners commissioned as part of the Hosted Buyers Programme communicating with you by phone, fax and e-mail. Your personal information (except credit card details) can be used for internal processing and for disclosure to third parties such as exhibitors, hotels and transport providers in connection with your ITB Asia, MICE Show Asia and/or Travel Tech Asia 2020 attendance as a Hosted Buyer. In addition, we may use your details to invite you to other events organised by Messe Berlin (Singapore) Pte Ltd or to offer you other relevant products and services supplied by Messe Berlin (Singapore) Pte Ltd or third parties.

The hotels, transportation companies and other service providers are independent contractors and are not agents or employees of Messe Berlin (Singapore) Pte Ltd or its affiliates. Therefore Messe Berlin (Singapore) Pte Ltd and its affiliates shall not be held liable for any act resulting thereof and beyond its direct control, including but not limited to overbooking, cancellation delay and force majeure. Furthermore, the participant shall indemnify Messe Berlin (Singapore) Pte Ltd and its affiliates of any damage or loss generated or caused by the participant which Messe Berlin (Singapore) Pte Ltd and its affiliates have to bear in relation to third parties.

These terms and conditions shall be governed by and constructed in accordance with Singapore law.
 

Trade Buyer

Individuals who are allowed to participate in the Buyer Programme must be travel agents, travel managers, MICE planners and industry professionals who are responsible for making or influencing buying decisions within the global travel market.

Should you cancel your participation to ITB Asia, MICE Show Asia and/or Travel Tech Asia 2020 on/after 1 September 2020, or fail attend any of the Trade Buyers Programmes and ITB Asia, MICE Show Asia and/or Travel Tech Asia 2020's official evening events, or fail to fulfill your required number of scheduled appointments, you will be liable to pay the FULL penalty and cost of evening functions incurred by the Messe Berlin (Singapore) Pte Ltd, a sum of USD 110.00.

Messe Berlin (Singapore) Pte Ltd reserves the rights to cancel the participation of a trade buyer, including after the buyer's acceptance onto the programme; for example, should it become apparent that the buyer is unlikely to fulfil their obligation and commitments to the programme.

You hereby declare that all information submitted are accurate and complete. And Messe Berlin (Singapore) Pte Ltd reserves the right to cancel the participation of a buyer should there be discrepancy in information submitted or if you're serving notice of leaving your role.

These terms and conditions shall be governed by and constructed in accordance with Singapore law.
 

Regulations Applying to all Types of Passes

Passes are issued in the holder’s name, or must be filled in correctly by the holder, who should also sign them. They are not transferable and are only valid in conjunction with an official ID document. In cases of misuse the passes will be withdrawn without compensation. All payments and registrations are non-refundable and non-transferable.

All attendees are to be in business attire. Shorts, Slippers and sandals are strictly not allowed unless part of the traditional attire. Entry will be refused if attendees are found in such attires. Attendees may be escorted out of the Exhibition Halls if found in such attires as well.

Entry will be refused if tickets are not purchased from authorised channels i.e. ITB Asia, MICE Show Asia and/or Travel Tech Asia 2020's website.

All attendees are required to upload a recent photo of themselves (face only) for onsite security verification i.e. Facial Recognition purposes.

Attendees found not abiding to any of the regulations stated within this General Terms and Conditions will be rejected entry, requested to return their badges or have their badges blocked depending on the severity of the offence. Organisers, staffs and security personnel appointed by Messe Berlin (Singapore) Pte Ltd reserve the rights to verify all attendees prior to admission, refuse entry, nullify and/or confiscate badges without being required to give reasons. The house regulations of the venue will apply together with the Organiser's general terms of business. Attendees found not abiding to any regulations, will be requested to exit the hall and/or return their badges.

Security

For security and safety reasons, the exhibition is open to trade and business visitors only. General public and minors below the age of 18 will not be allowed admission.

All badge holders must accept the security inspection processes involving Facial Recognition before entering the exhibition halls. The Organiser, staffs and security personnel appointed by Messe Berlin (Singapore) Pte Ltd reserve the rights to verify identities prior to admission, refuse entry, nullify and/or confiscate badges should there be discrepancy with our records and if any attendee refuses to adhere to the admission protocol. The attendee expressly agrees to the Data Privacy Policy (Point 7.). The house regulations of the venue will apply together with the Organiser's general terms of business. Attendees found not abiding to any regulations, will be requested to exit the hall and/or return their badges.

 

3. Photography

The taking of photographs, films or videos during the daily opening hours of the event may only be carried out by photographers, film or video production companies thus authorised by Messe Berlin (Singapore) and in possession of the appropriate pass. Such authorisation also applies prior to and after the daily opening hours of the event. No other photographers or production companies will be permitted access to the Exhibition Grounds. Information on this matter can be obtained from the Messe Berlin (Singapore).

 

4. Regulations Governing Halls and Indoor Places
 

Advertising

Advertising of all kinds such as flyers, sales brochures, unauthorised dailies distribution are not permitted on any ITB Asia, MICE Show Asia and/or Travel Tech Asia's contracted premises unless otherwise approved by Messe Berlin (Singapore) Pte Ltd such as within the stand hired by the exhibitor on behalf of the exhibitor’s own company, and only for exhibits manufactured or distributed by the exhibiting firm. Noise levels during the trade show may not be so loud as to disturb other exhibitors. In order that exhibitors can conduct meetings and appointments undisturbed, the voice level resulting from presentations on the stand must remain below 60 decibels.

Advertising of a political nature is strictly prohibited. No information material of a political nature may be distributed in the form of posters, information material etc.

All attendees must comply with Messe Berlin (Singapore) Pte. Ltd. and Sands Expo and Convention Center, Marina Bay Sands, Singapore Rules & Regulations. The house regulations of the venue will apply together with Organiser’s general terms of business. Anyone found not abiding will be subjected to the obligatory actions to the discretion of the Organiser.
 

Direct Sales

As ITB Asia, MICE Show Asia and Travel Tech Asia 2020 is a strictly no-selling event, unless permitted, no items (like food, drinks, typical souvenir) may be sold directly. i.e. no direct transaction is allowed unless expressly permitted. If such approval is given, the exhibits must be marked with clearly legible price tickets.

Exhibits – Removal, Exchange

Only the agreed exhibits may be displayed. Furthermore, they may only be removed subject to the approval of Messe Berlin (Singapore) Pte Ltd. Exhibits may only be replaced by other items if written agreement has been obtained from Messe Berlin (Singapore), and replacement must take place at least one hour before the official daily opening time, or one hour after the official closing time.
 

Exclusions

Messe Berlin (Singapore) is entitled to demand that exhibits should be removed if these were not included in the stand hire contact, or if they subsequently prove to cause annoyance or danger or are incompatible with the objectives of the event. In the event of noncompliance, Messe Berlin (Singapore) is entitled to have recourse to law in removing the exhibits at the exhibitor’s expense.
 

Trolleys

Trolleys are not permitted within the show during the Official Opening Hours.

 

5. Official Approval, Legal Regulations, Technical Guidelines

In all cases it is the responsibility of the attendees to obtain official approval. Exhibitors are responsible for ensuring the compliance with performing rights regulations, as well as with regulations pertaining to trading and industrial law, police regulations, health regulations and other legal requirements. Moreover, exhibitors must observe the “Technical Guidelines” as specified in the Exhibitor Service Manual, in particular about the regulations contained therein relating to stand construction and design, and the extensive safety regulations also specified in this folder.
 

Protection of Copyrights and Patents

It is the responsibility of all attendees to ensure that copyrights and other laws governing industrial patents in Singapore are complied with.

 

6. Regulations for the Maintenance of Order
 

Domiciliary Rights

During the event exhibitors are subject to the domiciliary rights of Messe Berlin (Singapore) and Sands Expo and Convention Centre, Marina Bay Sands, Singapore apply throughout the Exhibition grounds. Exhibitors must comply with instructions given by employees of Messe Berlin (Singapore) and Sands Expo and Convention Centre, Marina Bay Sands, Singapore, who will prove their identity by means of an appropriate identification document.
 

Hotel, Transportation & Service Providers

The hotels, transportation companies and other service providers are independent contractors and are not agents or employees of Messe Berlin (Singapore) Pte Ltd or its affiliates. Therefore Messe Berlin (Singapore) Pte Ltd and its affiliates shall not be held liable for any act resulting thereof and beyond its direct control, including but not limited to overbooking, cancellation delay and force majeure. Furthermore, the participant shall indemnify Messe Berlin (Singapore) Pte Ltd and its affiliates of any damage or loss generated or caused by the participant which Messe Berlin (Singapore) Pte Ltd and its affiliates have to bear in relation to third parties.
 

Shuttle Service

The shuttle services arranged by Messe Berlin (Singapore) Pte Ltd for ITB Asia, MICE Show Asia and/or Travel Tech Asia 2020 during the event days (i.e. 21 – 23 Oct 2020) are applicable to attendees who had booked through our Preferred Hotel Partners’ reservation link. All hotel guests are required to arrive at least 15 minutes prior to departure time and present a shuttle bus confirmation letter for verification purposes prior to boarding the bus. Messe Berlin (Singapore) Pte Ltd reserve the rights to refrain guest(s) from boarding the bus who does not possess a valid verification.

Parking Spaces

The parking spaces offered through Sands Expo and Convention Centre, Marina Bay Sands, Singapore (Singapore) are available to exhibitors and need to be paid individually. Messe Berlin (Singapore) is not responsible for any vehicle parked in all parking facilities provided by Marina Bay Sands. Attendees of ITB Asia, MICE Show Asia and/or Travel Tech Asia 2020 may purchase 24-hr parking coupons at the Level 1 Concerige at a rate of $8 w GST.

Access to the Exhibition Grounds

Vehicles which do not have the correct authorisation or a document entitling them to park within the Exhibition Grounds will not be allowed access to the grounds during the event. Regulations pertaining to the delivery of goods and other items are covered by the conditions of participation. Kindly request for vehicle Entry Passes from the relevant teams.
 

Leaving the Grounds

All attendees must leave the halls by the official exhibition closing time. Exception is only given to exhibitors and accompanying persons wherein they must leave the halls within one hour following the official closing time each day. Any persons wishing to leave the exhibition with packages must furnish proof that they are entitled to do so to the security staff at the exits.
 

Environmental Protection

Exhibitors are required to make every effort to protect the environment. In this respect they should also observe the Environmental Guidelines of Messe Berlin (Singapore) which are enclosed with the Exhibitor Service Manual.
 

Miscellaneous

No animals are permitted on the Exhibition Grounds. Water required for use in connection with foodstuffs or for the cleaning of utensils coming into immediate contact with foodstuffs may only be obtained from taps supplying hygienic water. Water for such purposes may not be obtained from toilet facilities.

 

7. Data Privacy Policy

Our business partners would be pleased to support the appearance of your company at the trade fair. Data protection law requires that we obtain your consent to the disclosure of your contact information to our partners. You can withdraw this consent from us at any time with effect for the future. Please note the data protection information in our General Terms of Business (§22) and in our data privacy policy on our website: itb-asia.com/privacy or miceshowasia.com/privacy.

The attendee expressly agrees that Messe Berlin (Singapore) may store, process, or disseminate personal information – including electronically processed data such as my contact information, i.e. my name, my phone number, my photo, my e-mail address and my fax number, to third parties – for business purposes in accordance with Singapore data protection laws.

The attendee expressly agrees that Messe Berlin (Singapore) may store, process or disseminate business information – including electronically processed data such as phone numbers, my e-mail addresses and fax numbers, to third parties – as long as necessary to achieve the objectives of Messe Berlin (Singapore) or its affiliates, or to fulfil any other justifiable needs such as the identity verification purposes.

The attendee expressly agrees that Messe Berlin (Singapore) Pte. Ltd. may transfer my contact information, i.e. my name, my phone number, my e-mail address and my fax number, to third parties for the purpose of optimizing and supporting the participation of my company at the trade fair and so that they can offer me their own specialized services for preparing and implementing my presentation at the fair, such as logistics services, Facial Recognition Technology, PR services, ITB Asia, MICE Show Asia and/or Travel Tech Asia catalogue/Quickfinder, ITB Asia, MICE Show Asia and/or Travel Tech Asia App, Match Making Tool and ITB Asia News. The presently known recipients are PICO Art International Pte Ltd, Marina Bay Sands, Schenker Singapore Pte Ltd., Cleverdis Sarl, Klareco Communications, Focusinc International Corporation and Acedaytons Direct Int’l Pte Ltd.

More service providers may be added as and when the service offering changes or is expanded. I can withdraw this consent to the use of my personal data and e-mail address obtained as part of the exhibitor stand registration at any time with effect for the future. To do so, I simply need to send an e-mail to data-protection@itb-asia.com.

The house regulations of the venue will apply together with the Organiser's general terms of business. Attendees found not abiding to any of the above regulations, will be requested to return their badges.

 

8. Force Majeure
 

Cancellation of the Event

If Messe Berlin (Singapore) is prevented from holding the event for reasons outside its own control or that of the attendee, all claims to the ticket prices and stand rental become void. However, Messe Berlin (Singapore) may still invoice the exhibitor for work carried out in the latter’s instructions, to cover any expenses already incurred, if the exhibitor is unable to furnish evidence that the results of this work are of no interest to him.
 

Rescheduling of the Event

If Messe Berlin (Singapore) is in a position to hold the event at a later date it must notify exhibitors immediately. Attendees are entitled to cancel their participation in the event if it is rescheduled, provided such cancellation is given within one week following receipt of this notification. In such cases claims for payment of stand rental no longer apply.
 

For Events that have Already Commenced

If Messe Berlin (Singapore) is obliged to shorten or cancel an event that has already begun, as a result of force majeure, all attendees are not entitled to assert claims for repayment or for exemption from the charge.

 

9. Redemptory Clause

If any individual provisions in these conditions of participation become void, this shall not affect the validity of the other regulations. The void provision should be altered in such a way as to fulfil the intended purpose.

 

10. Federal Data Protection Law (BDSG)

Personal data about anyone with whom we are involved in business will be stored and processed in accordance with §§ 28 and 29 BDSG within the terms of the contractual arrangement.
